Privacy policy

Film By Us (‘we’, ‘us’) operates the website filmbyus.com, the app at app.filmbyus.com, and the guest capture links. If you have any privacy question, email hello@filmbyus.com.

Account details: for couples and team members — your name, email, and a securely hashed password.

Event details: the couple’s names, wedding date, venue, running order, and shot list you choose to add.

Guest details: when a guest joins to film, their chosen display name and role, and their consent to be filmed. Guests don’t need an account.

Uploaded media: the photos and videos guests capture, plus any captions, comments, favourites and moment tags.

Payment details: taken and processed by our payment provider (Stripe). We don’t see or store full card numbers — only the record that a payment succeeded.

Technical data: basic device, browser and usage information needed to run the service securely (for example, to keep you signed in and to fix errors).

To provide the service: collect footage, build and deliver your film, run your private gallery, and keep your storage window.

To communicate with you: delivery notifications, storage reminders, receipts, and replies to enquiries.

To keep the service safe and working: prevent abuse, debug, and meet legal obligations.

We do not sell your personal information, and we don’t use your footage to advertise or train anything without your explicit permission.

With service providers who run parts of the platform for us — cloud hosting and storage, our payment provider, and our email provider — under agreements that limit them to providing those services.

With people you choose: the footage you collect is shared with the couple and the guests you invite, through your private links.

For legal reasons: if required by law, or to protect rights and safety. And as part of a business sale or transfer, with notice to you.

Your footage and films are kept for your storage window (6, 12 or 18 months from your wedding day, depending on your pass). We send a reminder before it ends, then delete the content.

You can delete footage sooner, and any guest can ask for their own clips to be removed at any time — we action removals within about 24 hours, including from a film already delivered. A full refund also ends access and schedules deletion after seven days.

Files are encrypted in transit and at rest, galleries are private by default and can be password-protected, and access to your event is limited to the links you share. No system is perfectly secure, but we take reasonable steps to protect your information.

Accounts are for adults (18+). Children may naturally appear in wedding footage; we default to conservative use and act quickly on any request from a parent or guardian to remove a child’s footage.

Under the Privacy Act 2020 you can ask to see the personal information we hold about you and ask us to correct it. Email hello@filmbyus.com and we’ll help.
